How to install Publigo in your organization's domain

In this tutorial, we will discuss how admins can install Publigo for:

  • all users in a domain,
  • users in a single Organizational Unit (OU),
  • users in several Organizational Units,

+ allow / restrict users in other OUs to install Publigo by themselves (whitelist the add-on via Allowlist)

🏢 This article is intended for Google Workspace administrators.

An administrator (admin) is a person who manages Google services or devices for a company, school, or group. We'll guide you in choosing the appropriate installation options and setting it up.

Note: Publigo users receive a welcome (get started) email once after installing the app or when using the app for the first time.

If, as an admin, you install Publigo for domain users, they will receive a welcome email only if they use the Publigo app. This welcome email is sent to help them get started with Publigo easily.

A. Install Publigo for all users in your domain

Choose this option if you think Publigo can be useful to everyone in your organization.

1. Open the Google Workspace Marketplace and search for Publigo. Or use this direct link: Publigo for Google Drive.


  1. You should see 2 buttons: Domain Install and Individual Install.

    Click the Domain Install button.

Note: If you only see an Install button, then you are not logged in using an admin account or you could be logged in using several Google accounts. To remedy this, log in using an admin account.


  1. A modal window informs you that you're about to do a Domain wide install.

    Click CONTINUE.


  1. Review our data access requirements (scroll to view the full list), terms of service, and privacy policy.

a) Choose the applicable Organizational Unit (we chose the entire domain in this tutorial).

b) Check the agreement box.

c) Click ALLOW.

  1. Publigo is now installed! Click Done.

It may take up to 24 hours for an app to be available to all users. (This is a conservative timeframe. But it's usually way faster - even nearly instant.)


B. Install Publigo for users in a specific Organizational Unit (OU)

Choose this option if you want to deploy Publigo only to specific users in an Organizational Unit (e.g., your HR department).

Simply go through all steps detailed in section A - Install Publigo for all users in your domain.

But in step 4, choose a specific OU in the dropdown rather than the entire organization (we chose Ops in this tutorial).

Note:

  • If you want to activate Publigo for several OUs, extra steps are needed.
  • Users in other OUs will not be able to install Publigo unless you add it to your allowlist.

C. Install Publigo for users in several Organizational Units

Choose this option if you want to deploy Publigo to several users (e.g., your HR + IT departments).

1. Follow the instructions detailed in sections A - Install Publigo for all users in your domain and B - Install Publigo for users in a specific Organizational Unit (OU), to initially install the app for a particular OU.


2. Once Publigo has been installed for a specific OU, you can make it available to other OUs. From the Admin console Home page:

Click Apps > Google Workspace Marketplace apps.


  1. Click Publigo in the list of apps installed.


  2. Click the Distribution card.


  3. We're going to deploy Publigo to the IT department / OU. To do this:.

a) Click IT (or your appropriate OU)

b) Under Service status, click ON

c) Click the OVERRIDE button to save the changes.


5. Repeat these steps for any additional OU needing access to Publigo.

D. Allow users to install Publigo by themselves (while controlling which apps they can install)

Choose this option if you want to deploy apps initially intended to specific users (OU), while allowing other users to install individually - only as needed (avoiding unnecessary domain-wide installation).


Enable the Allowlist feature

  1. From the Admin console Home page, click Apps.
  2. On the Google Workspace Marketplace apps card, click Manage.
  3. Under Manage access to apps, choose Allow installation and usage of specific applications from Google Workspace Marketplace > SAVE.

Add apps to the Allowlist

  1. From the Admin console Home page, click Apps > Google Workspace Marketplace apps.
  2. Click Google Workspace Marketplace allowlist.
  3. At the top, click Add app to allowlist.
  4. Search for Publigo.

Then hover on Publigo > click ADD TO ALLOWLIST.

Publigo is now listed in your allowlist and individual users can install it.


E. Install Publigo for specific groups

Quick launch summary

Admins can now install Google Workspace Marketplace applications for specific groups in their organization using the new “ admin-install” functionality (formerly known as “domain-install”). Previously, admin-installing applications from the Google Workspace Marketplace was only possible for organizational units or an entire domain. Learn more.

This is useful in situations where only a subset of your users need to have the app installed, for example, CRM applications required for your sales and marketing groups or e-signature applications required for your legal teams.
